Registration
Canceling Registration
Cancellations can be made up to the first Friday after the season starts. If the cancellation is made by then, the patron will receive a full refund of their registration fee, and the spot on the team will go to the next person on the waitlist. In the case of cancelling a registration after the set date, a $50 administration fee will be reserved to cover the cost of jerseys and administrative work done.
In the case that a team is cancelled by Aspen Recreation due to lack of coaches or other circumstances, patrons will receive a full refund for the season. Families will be notified if a team is cancelled the Friday before the first week of practices.
Waitlist
Being on the waitlist does not guarantee a spot on a team for a season. The waitlist order is based on the date and time they were placed on the waitlist. If the family volunteers to coach that season, they are moved off the waitlist given there is space on a team or moved to the top of the waitlist.
If a player is added to the waitlist within the registration window…
They will be placed on a waitlist; we will do the following to ensure that player is placed on a team before the start of the season:
- Contact Coaches: We will ask section coaches if they are open to adding additional players;
- Create a New Team: If there is enough interest, we may form an additional team with the wait-listed participants.
Our goal is to move all players off the waitlist before the beginning of the season to ensure all players can play. If a player is not taken off the waitlist by the start of the season, they will remain on the waitlist in the case another player drops out. Waitlisted players can be added up until the Friday of the first week of practices.
If a player is placed on the waitlist after the registration deadline…
They will only be moved off the waitlist if there are rostered players who drop out. We will continue to move players off the waitlist through the first Friday of the season. After that first Friday, teams are set and no more players will be added.
Once your child is taken off the waitlist…
Information regarding the sports season (including practice times, team roster, assigned coaches, and games schedule) will not be shared until payment is made on your account.
Multiple Registrations
Aspen Youth Sports encourages youth to “sports sample” or to participate in a wide range of sports. We will work with families who choose to sign up for multiple sports that we offer during one season (i.e. Fall Flag Football and Fall Soccer).
Players are not allowed to register twice for the same sport during the same season on two different teams. This includes teams not managed by Aspen Youth Sports, but who participate in the same league.
For example, a child cannot be registered for both Snowmass basketball and Aspen basketball as both teams are a part of the Roaring Fork Youth Basketball League. Playing on both teams would result in the player having to miss a practice or game for one team or having to choose which team to play a game with. This would create unfair conflicts between the player and both teams.

Children with Higher Needs
We want to ensure that all kids who want to play can play and will make accommodations to support all players. Please contact the Youth Sports Coordinator to discuss any accommodations your child may need.
Gender
Aspen Youth Sports offers co-ed opportunities for the Kinder and 1st/2nd grade divisions. In the 3rd/4th and 5th/6th grade divisions, sports are separated by gender. Players are only allowed to play on one gender team per sport per year from 3rd grade on.
Injury & Illness
In the case of an injury, the coach will make an incident report and inform the Youth Sports Coordinator and the parent/guardian. Within 24 hours, the family will be contacted to follow up on the child’s injury.
All children who have fever, antibiotics, diarrhea, or vomiting must not attend camp for 24 hours after their symptoms cease, without the use of medication. Children who come to camp sick will be sent home. Credits will not be given if a child is sent home early due to sickness.
Parents/guardians will be contacted immediately in any event of illness or injury.
Inclement Weather
When possible, calls to cancel practice or games will be made by 2pm. However, weather can be unpredictable and there might be circumstances in which calls to cancel practices or games happen after 2pm or even after practices/games have started. It is always up to the family to make their own decisions on participation due to inclement weather; please communicate with your team’s coach if you will not be attending practice/games due to inclement weather. Families can always check the JUDI Hotline for the most up to date information regarding cancellations.
Lightning
Practices/games will be stopped when there is lightning within 8 miles of the practice field. Once this call is made, players and coaches will seek shelter under the awning of the Elementary School. After 30 minutes of no lightning strikes within 8 miles, practice/games may continue.
Snowstorms
When there are snow days that are called by Aspen School District, all programming in Aspen will be cancelled as well. In the case that there is a game in another town on a ASD snow day, the Youth Sports Coordinator will communicate with players and families about the status of the game. There may be certain circumstances in which weather worsens throughout the day and road conditions become dangerous. In these cases, a call to cancel games/practices will be made by 2pm.
Air Quality Index
If the air quality index exceeds 150, we will cancel all games and practices. If the air quality is between 100 and 150 (as it currently is), it is the family's choice to participate or not; we understand that air quality can affect children differently.
Mandatory Reporting
As required by Colorado State Department of Social Services, staff are required to read and sign a statement defining child abuse and neglect pursuant to state law and outlining the staff member’s personal responsibility to report all incidents of child abuse or neglect according to state law. If abuse or neglect is suspected, it must immediately be reported to Pitkin County Adult & Family Services, 0405 Castle Creek Rd, Aspen, CO (844) 264-5437 or local law enforcement.
Code of Conduct
All coaches, players, parents, and spectators must abide by the Youth Sports Code of Conduct. The Youth Sports Code of Conduct will be sent out with all other registration information at the beginning of the season. Failure to comply will result in:
- Verbal warning from the Youth Sports Coordinator;
- Being asked to leave the facility, game, or practice;
- Suspension from practices or games;
- Not being invited to participate in future seasons.
